General Overview
Reporting directly to the Manager, Health Information Management (HIM), the Document Imaging Analyst assists with the daily functions of the department’s scanning operations. The individual works collaboratively with various members of the HIM team to accurately and efficiently pick up, process, analyze, prepare and scan patient medical record information in support of the hospital’s mission to deliver the best health care to the diverse communities we serve.
This is a part time role, 20 hours a week. Day shift: 3-5 days per week (Monday – Friday) at 115 Mill Street, Belmont, MA 02478
Principal Duties and Responsibilities
- Processes, prepares, sorts and scans medical record documents into the document management system within specified time frames while meeting productivity & accuracy expectations.
- Analyzes the patient health record to identify misfiled or mislabeled documents, making certain all documentation scanned belongs in the appropriate patient’s medical record.
- Prepares batches of documents according to established prepping guidelines by capture class which includes proper use of scanning separator sheets, patient identifiers on each document and capture class for scanning into the electronic document management system.
- Scans and monitors the scanning process for misfed documents. Addresses and reports problems in a timely manner to the management team.
- Performs a quality assessment (QA) on all pages within a scanned batch making necessary edits before sending the batch to auto indexing in the document management system.
- Maintains scanning hardware by performing daily cleaning and escalates any issues when necessary.
- Assists with storage of scanned documentation and eventual destruction, according to department retention guidelines.
- Attends required trainings to keep up to date with the latest information systems and imaging functionality.
- Performs record collection from designated patient care units/departments within the hospital to facilitate timely prepping and scanning of the paper documents into the legal health record.
- Records daily incoming volume received and productivity of volume of work completed on a daily basis.
- Report site-based operational issues to Team Lead and/or Manager.
- Assists the Central Record Control Center in regards to tracking and distributing paper charts ordered from off-site storage for individuals, auditors and research requestors. Facilitates the return of the paper charts back to off-site storage.
- Perform related duties as assigned by Team Lead and/or Manager.

Qualifications
- High School diploma or equivalent.
- Previous work in a healthcare area is preferred.
- 1 year digital/electronic document imaging experience preferred.

- Excellent verbal and written communication skills are necessary.
- Basic Microsoft Office skills are necessary.
- Collects relevant information to understand problems and issues, e.g. documents for inclusion in the EHR, scanning equipment and/or system downtime workflow.
- Holds self-accountable for complying with policies, procedures and work requirements, e.g. daily reporting, record destruction, and/or scanning guidelines
- Able to work independently and in a group/team setting.
- Ability to perform repetitive tasks for extended periods of time while maintaining a high level of concentration.
- Possesses the ability to perform work under stressful conditions and manage multiple priorities.
- Requires standing and walking which includes pushing carts to pick up records about 20% of the time. Ability to regularly lift, push, pull or carry boxes or carts (up to 25 pounds).
- Must be comfortable engaging in business in a clinical setting.
- Usual office environment including high speed or desktop scanners.
- Ability to work in a collaborative team environment.
- Hours may vary to include various shift coverage and holidays.
- Work location may vary to include other Mass General Brigham sites.

Pay: $19.00 - $21.00 per hour
