Job Overview:
We are seeking a highly organized and detail-oriented Assistant to join our team. As an Assistant, you will provide administrative support and assist with various tasks to ensure the smooth operation of the office. The ideal candidate will have excellent communication skills, strong computer literacy, and a customer service mindset.
Administrative Tasks:
1. Manage correspondence, including emails, phone calls, and mail.
2. Schedule meetings, appointments, and events for the food hub team.
3. Maintain and update databases and records, including farmer contracts, product inventory, and customer information.
4. Assist with the preparation of reports, presentations, and other documents.
5. Coordinate logistics for deliveries, pickups, and events, including scheduling transportation and coordinating with suppliers and customers.
6. Order office supplies and maintain inventory levels.
7. Assist with budget tracking and expense reporting.
8. Provide general administrative support to the food hub team as needed.
Food Aggregation Management:
1. Coordinate product aggregation and distribution activities, including receiving, sorting, and packing orders.
2. Ensure accurate labeling, packaging, and quality control of products.
3. Monitor inventory levels and track product availability.
4. Communicate with farmers and suppliers regarding product availability, orders, and delivery schedules.
5. Assist with the development and implementation of food safety protocols and procedures.
6. Collaborate with the operations team to optimize efficiency and effectiveness in food aggregation processes.
7. Help troubleshoot any issues or challenges related to product aggregation and distribution.
Farmer Support:
1. Serve as a primary point of contact for farmers, providing assistance and support as needed.
2. Facilitate communication between farmers and the food hub team, conveying information regarding product requirements, pricing, and orders.
3. Assist farmers with onboarding processes, including completing paperwork and contracts.
4. Provide guidance and resources to farmers on sustainable farming practices, market opportunities, and regulatory compliance.
5. Coordinate farmer training sessions, workshops, and networking events.
6. Advocate for the needs and interests of farmers within the food hub organization.
7. Conduct regular check-ins with farmers to assess satisfaction and address any concerns or issues.
Additional Duty:
Attend stakeholder meetings in person and through Zoom, representing the food hub and providing updates on relevant activities and initiatives.
Experience:
Managed administrative tasks, including correspondence, scheduling, and record-keeping, to support the efficient operation of the food hub.
Coordinated product aggregation and distribution activities, ensuring accurate labeling, packaging, and quality control of products.

Provided guidance and resources to farmers on sustainable farming practices, market opportunities, and regulatory compliance, supporting their success and growth.
Attended stakeholder meetings in person and through Zoom, representing the food hub and providing updates on relevant activities and initiatives.
Collaborated with the operations team to optimize efficiency and effectiveness in food aggregation processes, troubleshooting issues and implementing improvements as needed.
Conducted regular check-ins with farmers to assess satisfaction and address any concerns or issues, demonstrating a commitment to excellent customer service and support.
Contributed to the development of reports, presentations, and other documents to communicate key information and insights to stakeholders.
Supported the coordination of events, workshops, and training sessions for farmers and stakeholders, facilitating networking and knowledge-sharing opportunities.
