Job Summary: The Administrative & Executive Assistant is pivotal to the efficiency of our small team and office operations. This multifaceted role supports the CEO, management, and marketing team, including tasks like scheduling meetings, managing communications, editing documents, generating reports, and maintaining precise records. We are looking for a detail-oriented professional who excels in communication and can efficiently juggle multiple tasks.
Job Responsibilities:
- Calendar Coordination: Providing real-time scheduling support to the CEO’s calendar by booking appointments and preventing conflicts.
- Report Generation: Produce timely and ad-hoc reports for management team.
- Email Management: Manage the CEO's email communications daily to guarantee timely and accurate responses.
- Data Management: Data entry, CRM database upkeep, and list building activities.
- Audits and Monitoring: Perform weekly audits on form submissions, maintain cleanliness of data, and manage alerts. Download and monitor weekly website visitor statistics.
- Market and Account Research: Conduct research on target accounts and market trends to support business strategies.
- General Office Coordination: Client invoicing, office filing and other administrative tasks.
Qualifications:
- Excellent written and verbal English and communication skills.
- Proven experience as an administrative assistant or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with scheduling tools.
- Strong organizational and time-management skills.
- Ability to work independently and as part of a team.
- * Optional – Skills in canva and social media calendaring tools.
