Hawaiʻi Opera Theatre (HOT) seeks a results driven Finance Manager. Reporting to the Chief of Staff, the Finance Manager guides HOT’s financial policy and direction while also being an active partner with HOT’s leadership in planning the organization’s finance strategy, forecasting and implementing ongoing financial operations. This position follows all generally accepted accounting principles (GAAP) and leads all financial administration, including day-to-day accounting, payroll, business planning, budgeting, and assists with aspects of HR administration. The Finance Manager collaborates closely with peers on the leadership team, including the General Director, Artistic Director, Director of Development, Director of Marketing, Education Director and the Board of Directors. The Board’s Finance Committee, along with the Board Treasurer, will liaise with this position frequently.
The ideal Finance Manager candidate will have skills in managing processes and analyzing information, developing standards and policies, non-profit accounting, and auditing experience. Experience with Accounting systems is required. Familiarity with various Customer Relationship Management (CRM) software, such as Tessitura, etc., is also desirable.
Primary Job Functions
§ Guide financial decisions by establishing, monitoring, and enforcing internal controls, operational policies and procedures; make recommendations for increased efficiency and effectiveness.
§ Update and implement all necessary business policies and accounting practices; improve the finance department’s overall policy and procedure manual.
§ Handle all bookkeeping and perform monthly accounting activities including reconciliations of bank and credit card accounts, balance sheets, and profit & loss statements, with an emphasis on real-time reporting.
§ Input/import transactions from CRM and payroll software into QuickBooks. Follow up and resolve issues related to these functions.
§ Prepare Financial Statements and Reports for review by Board Treasurer and Finance Committee, as well as for staff, board, and committee meetings.
§ Work with department heads in managing and improving their processes around revenue and expense. Develop and implement strong systems to ensure department heads have the information they need to make good financial decisions.
§ Monitor cash flow, accounts, and other financial transactions; identify/implement practices to minimize financial risk for the organization to ensure funds availability and report any upcoming periods of dynamic cash flow.
§ Monitor insurance policies.
§ Develop and implement policies and procedures for regular reconciliation for contributed and earned revenue with the appropriate department heads.
§ Maintain fixed asset and depreciation schedule.
§ Monitor performance of organization’s endowment.
§ Review AP with Chief of Staff to manage payables, review/sign checks, and make deposits.
§ Manage checking, credit card and any other types of accounts.
§ Assist Chief of Staff and department heads with annual budget preparation; track and reconcile project budgets.
§ Conduct regular meetings with Chief of Staff and department heads to share financial information; assist in strategizing solutions as needed; review monthly budget performance.
§ Ensure artist and other payments are timely processed.
§ Assist with receivables and payables, in collaboration with artistic, development, education, production, and events, working with Chief of Staff to ensure that expenses are within budget and approved, and an eye on areas of expense reduction.
§ Ensure timely and accurate filing of federal, state, and city tax forms and applications; coordinate and execute all tax reporting and payment requirements.
§ Serve as liaison to CPA firm and manage all audits, and prepare additional information as requested, including HOT’s annual independent financial audit, and wc audits.
§ Provide financial information for grant proposals and final reports.
§ Process salaried and hourly staff payroll, monitor timesheets, and union payments; review and approve payrolls prior to final processing and review payroll reports.
§ Administer new employee paperwork, staff medical, short and long-term disability insurances and 403(b) plan.
§ Coordinate with Chief of Staff and Director of Production on all matters of project payroll including IATSE payroll, fees, dues, and health/pension plan payments.
§ Create and maintain relationships with service providers and contractors, including banking institutions and investment service relationships.
§ Be present at first rehearsals.
§ Other duties as assigned and necessary to fulfill the mission of HOT.
Secondary Job Functions:
§ Work with HOT leadership team to identify and address critical areas for improvement.
§ Carry out managerial responsibilities in accordance with the organization’s policies and applicable laws, involving Chief of Staff as appropriate.
Qualifications and Skill Requirements:
§ Bachelor’s degree from an accredited college or university in Accounting, Finance or Business.
§ Minimum three (3) years of experience desired; experience in performing arts administration desired.
§ Experience in audit preparation desired.
§ Experience with payroll software and year end tasks.
§ Strong knowledge of GAAP.
§ Strong knowledge of internal control procedures.
§ Strong knowledge of non-profit accounting, reporting, compliance.
§ Proficient in accounting software, and Excel.
§ Experience with foundation/government grants is desired.
§ Experience with audit preparation.
§ Outstanding interpersonal skills including the ability to interact with artists, staff, the public including donors and event patrons, and volunteers in a professional, confidential and tactful manner.
§ Excellent time management skills with a proven ability to meet deadlines.
§ Proficiency in Microsoft Office applications.
§ Ability to work independently, prioritize tasks, and exercise good judgment and initiative.
§ Ability to manage multiple, competing priorities successfully.
§ Ability to thrive in a fast-paced, rapidly changing environment.
§ Ability to communicate clearly and effectively, both orally and in writing.
§ Ability to attend evening and weekend Opera events is desirable.

Pay: $60,000.00 - $65,000.00 per year
