Administrative Assistant Responsibilities:
- Print bid drawings for Sales Representatives
- Process Submittals to AHJ / Municipalities
- Update Job List and Billing List
- Process Purchase Orders / Contracts
- Enter notes in ProfitZoom under Customer Navigation / Contract Navigation
- Scan documents for attachment into ProfitZoom
- Update Service / Production Spreadsheets
- Filing (Including Drawings, Purging Files)
- Assign quote numbers to files
- Close out Documents
- Special Projects
- Follow up on Inspection Service (Contracts / PM) from install jobs
- Provide Administrative Support as Needed
- 1st Backup for Sales Administrative Assistant II including:
- Check sales emails
- Enter jobs into ProfitZoom
- Enter work and service orders – email or print & distribute to depts.
- Answer phone calls for sales
- Email service contracts to customers
- Request accounts for new Parent and/or Worksite locations
