Job Summary:
The Front Office Manager will facilitate the efficient and profitable operation of Grand Traverse Ophthalmology Clinic while interacting professionally with our doctors, staff, patients and outside resources. The position will also exemplify our mission statement: “Serving the people, communities and physicians in northern Michigan with unsurpassed medical and surgical eye care in an environment of kindness and dignity”.

Essential Duties and Responsibilities:
Other duties and responsibilities may be assigned or assumed with organizational changes.
- Facilitate the smooth and professional daily operations of our Traverse City front office department including the ability to perform any front office position (including surgery scheduling) to help when needed.
- Lead and supervise the Front Office team, providing guidance, training, and support to ensure optimal performance and adherence to clinic protocols.
- Coordinate staff schedules to provide floor coverage for the department.
- Responsible for team’s performance evaluations, wage adjustments, conflict resolution, corrective actions.
- Collaborate with and support other department managers to assure workflow efficiency across GTOC.
- Recruit, hire, train, retain, and terminate staff as needed.
- Participate in weekly manager meetings.
- Oversee daily operations, including appointment scheduling, patient check-in/out, insurance verification, and patient inquiries, to maintain efficiency and minimize wait times.
- Manage patient complaints and concerns, resolving issues promptly and professionally to uphold our commitment to excellent customer service.
- Responsible for Front Office HIPAA compliance including providing staff education.
- Responsible for troubleshooting minor computer problems/errors.
- In-depth knowledge of and ability to use various software programs such as NextGen (EPM, EHR, Document Management, Optical Management, Portal, Rosetta) Windows, and Microsoft software (Word, Excel, One Note, Outlook).
- Continually monitor department workflows for efficiency and appropriateness.
- Organize and conduct Front Office staff meetings as needed.

Education and Experience:
· Prior management experience required. Bachelor program preferred.
Language Skills:
· Proficient in the English language (both written and spoken).
Mathematical Skills:
· Proficient in basic math skills and ability to perform more advanced math calculations.

Job Type: Full-time
Pay: $28.00 - $30.00 per hour
