PAYROLL SPECIALIST JOB DESCRIPTION
The mission of the Jones Logistics finance team is to be “Trusted Business Partners” within the company. The Payroll Specialist position is vital to this mission and to the financial and administrative operations of the company. Critical to the position is ensuring integrity, accuracy, and timeliness of payroll data processing. Payroll Specialist reports to the Payroll Manager.
Duties/Responsibilities
- Review and timely process of weekly payroll for 700+ team members, with hourly, salary and production paid employees. Includes processing time off requests, reimbursements, commissions, bonuses
- Verify new hire and transferred employee data entered, identify missing data to ensure successful weekly Payroll. (Tax documents, direct deposit forms, assignment fields, address changes, etc.)
- Preparation for processing and reconciliation of payroll related filing and submissions, including weekly, monthly, and quarterly payroll taxes and reports, garnishment/child support, W2s, etc.
- Various weekly, monthly and quarterly audits to ensure accuracy of employee records and pay
- Maintain accurate records of payroll documentation and transactions
- Prepare and submit initial correspondence regarding unemployment claims collaborating with HR
- Assist Department with tax review of third-party tax filings and necessary actions
- Assist Human Resources, Safety and Accounting departments with various reporting requirements
- Assisting employee inquiries with questions or concerns regarding paycheck discrepancies, vacation/leave, deductions, etc.
- High degree of confidentiality required.
- Share in maintaining binders for Wage & Hour Fact Sheets, FLSA and Payroll Processing
- Participate in payroll education courses when available
- Programmed and mapped general codes to the system
- Additional tasks as they are assigned by members of management

Qualifications

- High School Diploma or Equivalent with 2-4 years of related payroll processing experience
- Experience with payroll tax laws and tax filings. Working knowledge of multi-state and local payroll taxation preferred
- solid understanding of payroll best practices
- Proven ability for great attention to detail and excellent organizational and planning abilities
- Able to investigate and resolve payroll issues, while adhering to strict compliance under company or regulatory standards
- Experience with Dayforce (or other third-party software for large companies)
- Demonstrates strong Excel skills, complex spreadsheets and proficient with Microsoft Office Suite
- Ability to maintain high standards of confidentiality
- Enthusiasm for being part of a team and working in a team oriented environment
- Self-motivated and forward thinking, resourceful, and willing to take initiative
- Ability to work in a fast-paced environment with time sensitive deadlines; energetic and driven
- Strong communication skills both oral and written and interpersonal skills
- FPC preferred (continuing education encouraged)
