Position Purpose
The Project Assistant role is designed to assist our Accessibility Team Lead with meeting deadlines on crucial projects. This role does not require specific digital accessibility knowledge. It does rely heavily upon attention to detail, accuracy, and the ability to work as a proactive team member in meeting multiple deadlines.
NOTE: Training will be provided to the successful candidate related to all job duties.

Position Purpose

Position Length, Location, and Hours
This is a temporary position in WeCo’s virtual office. Time requirement is 5-10 hours weekly. This temporary position will last 2-4 months with the possibility of an extension after a reassessment.
Key Responsibilities
Position responsibilities include, but are not limited to:
Visual help with document and report formatting
- Check over completed documents to ensure they follow WeCo document style standards.
- Make sure documents are formatted properly, colors are correct where applicable, and text/images/other visual features are presentable.
Email Management
- Help manage shared accessibility team inbox
- Make sure client emails are acknowledged and responded to
- Extract key information from client emails
Scheduling
- Help updating shared calendars as needed
- Removing invalid attendees
- Updating time/date/location
- Canceling meetings as needed
- Help schedule internal and external meetings as needed
- Managing/updating user availability
- Following up on late/missing meeting RSVPs and responses
Documentation and tracking
- Help make sure project timeline tracking is up to date with current step of each process recorded
- Help compile information from different sources into tracker spreadsheets and documents
- Help compile data from audits into report documents
- Help compile data for project tracking into tracker spreadsheets as needed
Other Duties
- Share meeting recordings from Zoom to clients at the end of each week
- Update documents, spreadsheets, presentations, for accessibility and visual presentation
Desired Results
- Provide timely, accurate assistance.
- Provide consistent, quality support to the WeCo Accessibility Specialists.
- Assist in providing flawless reporting and information to WeCo’s clients.
- Proactively suggest improvements to team processes.
- Work as a trusted, relied-upon member of the Accessibility and wider Staff Teams.
Skills Traits and Competencies
- Relentlessly meticulous attention to detail.
- Perfectionist balanced with reality.
- Enjoys data and finding ways to apply it to improve processes and results
- Project management experience is a plus.
- Experience with project management software preferred, but not required if candidate is open to training.
- Intermediate knowledge of the following software programs:
Microsoft Outlook, Word, Excel, and Power Point.
- Strong written and expressive (the ability to speak is not necessarily required) skills.
- Ability to function well within a virtual office environment.
- Comfortable working with, and for, professionals who live with disabilities.
- Believe in WeCo’s mission and aligned with our Core Values.

Work Environment
WeCo offers a robust, and accessible, virtual office allowing our staff to work from anywhere inside the United States. We also offer shared office spaces in Stillwater and St. Paul Minnesota. Shared office spaces may also be offered to candidates in different locations throughout the US. (Dependent upon availability and business need.)
