Virtual Medical Receptionist
Part-Time | 32 hours/week | Remote/Hybrid | 1099 / Independent Contractor Position
Purpose
The Virtual Medical Receptionist provides direct support to our providers in billing, scheduling, handling basic customer service by email and phone, and serves as the liaison between our patients and providers. The Virtual Medical Receptionist also assists our providers with paperwork requests from patients, calling pharmacies and other providers on behalf of the practice as needed, and submitting prior authorizations to insurance companies. This role requires knowledge of HIPAA compliance standards for maintaining privacy of our patients’ protected health information. The ideal candidate for this role is self-sufficient, resourceful, possesses excellent customer service skills, is always looking for ways to improve efficiency, and works well in a fast-paced small business environment.
Duties and Responsibilities
- Answer phone calls for the practice during business hours, return missed phone calls, take and deliver phone messages for our providers, reach out to potential new patients by phone.
- Provide immediate non-medical support, direction, and guidance to patients over the phone who may be experiencing a crisis.
- Answer questions about the practice, its providers, insurances taken, and be able to direct people to other resources as needed if we are unable to assist them.
- Scheduling intake and follow up appointments as needed across multiple providers’ calendars. Rescheduling and canceling appointments as needed within practice policies and guidelines.
- Provide support in new patient intake, ensuring all required documentation is on file.
- Provide ongoing customer service support to patients contacting the practice via phone and email.
- Directly support providers in paperwork requests, prior authorizations, calling pharmacies and other healthcare providers, and ensuring patient requests and questions are attended to in a timely manner by providers.
- Charge patient copays, coinsurances, deductibles, and self-pay fees, and set up and track patient payment plan agreements. Follow up with patients carrying balances for payment.
- Sending out appointment reminders via text and email.
- Other duties as assigned.
Qualifications
Education
- High school diploma or equivalent required
- Associates or Bachelor’s degree preferred
Experience
- 1-2 years of experience working in a medical or clinical office setting preferred
Knowledge, Skills, Abilities
- Knowledge and understanding of HIPAA Compliance Standards is required
- Basic knowledge of medical billing and insurance (this is not a medical biller position, but understanding how it works is helpful)
- MS Office Suite
- Ability to effectively navigate and use EHR (Electronic Health Record) systems
- Scheduling for multiple providers with differing schedules
- Telephone and email customer service
- Basic knowledge of behavioral health medications and interventions is a plus
- Basic knowledge of DEA regulations for controlled substances is a plus
Working Conditions
- This position is for the most part fully remote, with some potential for needing to come into the office on very rare occasions.
- This position requires that you have a relatively quiet space where you can work with few interruptions. Due to HIPAA regulations, it is important that no one will be able to hear your phone calls.
- You will require a smartphone that can download apps and a computer that can connect to the internet.
- Ability to print/scan from your workspace is helpful.
- This is a 1099 independent contractor position, so you will be responsible for your own taxes. You should have a way to track your hours and invoice to be paid.
Hours and Compensation
- 32 hours per week. Office hours are 9am - 5pm Monday - Thursday.
- Compensation is $16-20/hour, commensurate with experience.
