Receptionist/Administrative Assistant

Counseling Services of New York (CSNY) is an OASAS (New York State Office of Alcohol and Substance Abuse Services) licensed 822 non-intensive outpatient chemical dependence program in the South Bronx. All current employees who are qualified are encouraged to apply.
Position Duties:
CSNY is hiring a full-time on-site Receptionist/Administrative Assistant to work Monday thru Friday from 10am to 6pm with a 1 hour lunch hour at 1pm, and who will be responsible for the following duties, for which on-the-job training will be provided:
- Monitoring the waiting area of the clinic:
- Ensuring that all waiting patients’ needs are attended to, without delay
- Connecting waiting patients to counselors for scheduled visits
- Ensuring waiting area is neat and orderly
- Ensuring waiting area is properly supplied with food items, coffee, and information materials (brochures, hand-outs, etc.)
- Ensuring every patient who walks in the door signs in on the appropriate sign-in sheet
- Calling supervisor for assistance if waiting area becomes excessively full, or for any other reason which might require the assistance of a back-up receptionist
- Monitoring and ordering office supplies, when needed
- Answering the phone system in accordance with CSNY’s phone policies, forwarding calls, and/or following up with callers to ensure that callers are satisfied by the end of each call
- Entering specialized patient-related information in CSNY’s electronic record keeping system
- Assisting with scheduling patient’s appointments in CSNY’s electronic record keeping system
- Checking in arriving patients in CSNY’s electronic record keeping system
- Providing each entering patient with a Client Daily Service Plan that is properly completed, based on what is scheduled…or modified, as necessary, to address last minute changes
- Regularly using available electronic resources to check initially and/or verify ongoing the financial coverage eligibility of each patient for services (e.g., Medicaid eligibility, private insurance, etc.)
- Monitor and enter data in PTAR system; distribute MetroCard to eligible patients, per related guidelines
- Other duties, as assigned
Qualifications:
- At least one year of full-time clerical work experience, preferably in the chemical dependence field
- Proficient in MS Word, MS Excel, MS Outlook, and general computer and internet navigation.
- Positive attitude and friendly, professional demeanor
- Spanish speaking preferred
Reports to:
The Receptionist/Administrative Assistant will report to the Program Director, but will support all employees, as needed.
Job Type: Full-time
Pay: $14.00 - $16.00 per hour
Schedule:
- 8 hour shift
- Monday to Friday
