Responsibilities:
- Provide administrative support to executives
- Prepare, edit, organize and maintain correspondence, communications, presentations, and other documents
- Take accurate and comprehensive notes at meetings
- Transcribe and proofread documents for accuracy and clarity
- Manage memos, reports, invoices, including sensitive information
- Review, prioritize, respond to emails
- Draft correspondence such as emails and letters
- Use technical tools and software such as Microsoft Office Suite to organize details and communicate effectively and efficiently
- Perform data entry tasks to maintain accurate records and databases
- Organize and maintain physical and electronic files and records
- Assist with front desk operations, including greeting/screening visitors and answering phone calls and taking messages
- Assist with customer service inquiries and provide support as needed
- Schedule appointments, meetings and manage calendars
- Research and organize data in preparation for meetings
- Help with daily time management
- Run errands as requested
- Plan travel, including flights, accommodation and ground transportation
- Coordinate events and speaking engagements
- Keep confidential information
- Manage office duties such as office supplies
- Other duties and tasks as assigned
Requirements:
- Experience as an executive assistant or in a similar role
- Excellent time management skills with discipline and a personal accountability mindset
- Excellent organizational skills with the ability to prioritize tasks
- Strong verbal and written communication skills.
- Proficient with MS Office and agency management systems with general computer skills and ability to learn and continuously improve technical skills
- Ability to work with multiple computer applications while on the telephone and demonstrate speed, accuracy and a high attention to detail
- Strong attention to detail with excellent proofreading skills
- Ability to handle sensitive information with confidentiality and discretion\Possess an outgoing, upbeat, positive and enthusiastic attitude with a sense of urgency
- Demonstrate strong customer focus with ability and tact to be professional with internal and external stakeholders and handle difficult customer interactions
- Proactive problem solver able to solve complex problems independently without direct supervision
- Confidence in building rapport and trust with clients and stakeholders
- Good listener: ability to hear, understand, and communicate complex business challenges
- Must be able to pass a Criminal and Credit Background Check
