Job Title: Executive Assistant

The business is located in a warehouse building on the east side of town owned by the City of Herrin. Merchandise is co-designed by the current management of Keren Hart, sales representatives and international vendors. The fourth generation is now making their mark with quality production and smart clothing choices for women.
Position Overview: The Executive Assistant role is a cornerstone position within Keren Hart, requiring a blend of administrative prowess, communication finesse, and strategic thinking. As a Keren Hart Executive Assistant you will fill your time with managing our information technology at the same time as you play a pivotal role in supporting senior executives and conducting analysis. This multifaceted role requires a dynamic individual who excels in organization, communication, and problem-solving. You will serve as a liaison with outside vendors, and right-hand to the executives, handling a wide range of administrative tasks with efficiency and discretion.
Responsibilities:
IT Support:
- Serving as the first point of contact for company level one IT issues, including troubleshooting hardware and software problems, resetting passwords, and assisting with basic network connectivity issues.
- Escalating complex technical issues to the appropriate outside IT personnel and following up to ensure timely resolution.
- Managing IT inventory, including ordering and tracking hardware and software supplies.
Media Management:
- Working with outside vendors to ensure regular maintenance of our company website and social media profiles, including ensuring that regular updates are posted, and inquiries are responded to, and engaging with followers to enhance brand visibility and engagement.
- Creating and curating content for social media platforms, including graphics, videos, and written posts, to promote our products/services and highlight company achievements.
- Monitoring social media channels for mentions and feedback, and escalating issues as necessary.
Production Reporting:
- Developing and maintaining production, shipping, and comparison reports to track key metrics such as output, efficiency, and quality.
- Analyzing production data to identify trends, inefficiencies, and opportunities for improvement.
- Presenting production reports to management on a regular basis and providing insights to inform decision-making.
Inventory Management:
- Receiving, inspecting, and recording incoming inventory shipments.
- Coordinating with vendors and internal stakeholders to ensure accurate inventory levels and timely replenishment.
- Performing periodic inventory audits to reconcile discrepancies and maintain inventory accuracy.
Qualifications:
Qualifications:
- Proven experience as an executive assistant or similar role, preferably supporting executives.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Strong communication skills, both written and verbal, with a keen attention to detail.
- Proficiency in MS Office Suite and other relevant software applications.
- Ability to exercise sound judgment and make decisions independently.
- High level of discretion and confidentiality.
- Bachelor’s degree preferred, but not required.
