POSITION SUMMARY: Provide clerical, student and staff support to the Athletic Director and department.
ESSENTIAL FUNCTIONS:-
Type a variety of material such as letters, reports and memos.
-
Maintains a regular filing system for athletic director and the athletic department.
-
Processes incoming correspondence.
-
Orders and maintains supplies as needed.
-
Performs bookkeeping tasks associated with the department such as ticket sales, team entry fees (incoming) and camp fees.
-
Maintains a schedule of appointments and makes arrangements for conferences and interviews (when applicable).
-
Assists student athletes with concerns and/or problems when appropriate.
-
Maintains complete set of files and correspondence for athletic teams.
-
Processes school and officials contracts.
-
Assists with team scheduling.
-
Does typing, filing and telephone work for the entire coaching staff, as well as trainers.

Handles incoming telephone lines, screens calls and forwards to appropriate team/department/person.
-
Screens and evaluates fund raising opportunities and forwards to the most appropriate team coach. Processes all team requisitions/purchase orders.

Checks each athlete’s grades for eligibility and, Pay to Participate fees (processes and deposits

Types minutes of OCC committees on which director and assistant director serve.

Coordinates meetings with all district participants.

Gathers information, types and processes reports for state, district, and League organizations.

Designs, types, assembles and distributes to all district schools, and mails (when appropriate) all summer camp brochures, applications, etc.

Processes team transportation requests, and maintains daily log of same.

Works closely with transportation department.

Other duties as assigned by the Athletic Director, Principal, Superintendent or his/her designee.

Maintain the confidentiality of information that is not public domain.

Perform other duties as assigned by the Assistant Principal, the Principal or the Dean of Students.
QUALIFICATIONS:-
High School diploma or equivalent training and experience.
-
Excellent computer and office skills.
-
Attention to detail.
-
Ability to handle confidential matters, set priorities and work well under pressure.
-
Ability to work cooperatively with all staff and to interact with staff, students and the public in a positive manner.
-
Ability to adapt to change quickly and to accept new and challenging tasks as they arise.
-
Ability to be bonded.
-
Alternate to these qualifications as the Superintendent and/or Board of Education may find appropriate.

WORKING CONDITIONS:-
May encounter some interaction with angry or distraught adults or students.

Regular requirement to sit, stand, walk, talk, hear, see, read, reach with hands and arms, stoop, crouch, and kneel.

Length of Employment: One Year Limited Contract
