Position Title: HR (Human Resource) Head Start Monitoring Specialist Classification: Non-Exempt
Department: Human Resources
Reports To: Manager, Human Resource
Position Summary:
The HR Head Start Monitoring Specialist is responsible for monitoring personnel files for Early/ Head Start and Early Head Start Child Care Partnership staff.
Duties and Responsibilities
- Monitor and maintain Early Head /Head Start and Early Head Start Child Care Partnership Classroom staffs for center-based sites and community partner sites both in Follow up (via email or phone call or even conduct site visit if needed) if community sites or delegate fail to respond after the required due date for verification of classroom staffs;
- Verify and update classroom staff’ credentials and upload necessary documentation to Edocs in COPA;
- Ensure community partner sites submit proper background check clearance and current physical screen report for all new hires upon employment.
- Prepare and update monthly classroom staff's qualification report; distribute it to both DFSS (Department of Family & Support Services) (Department of Family & Support Services) and internally;
- Work with Education Team to ensure staffs’ credentials are accurate so that Education Team can monitor teacher training and TS GOLD accordingly;
- Follow up and update teacher and teacher assistant training certificates and upload to Edocs in COPA.
- Schedule staff personnel files audits with delegate and community partner sites to ensure all Early/Head Start and Early Head Start Child Care Partnership funded staffs’ personnel files meet Office of Head Start, DCFS (Department of Children and Family Services) (Licensing), and DFSS.
- Conduct sites visit as needed to ensure site maintains proper documentation in staffs’ personnel file at all times;
- Follow up site visit if needed if the site is considered non-compliant in staff’s qualification or personnel file audit.
- Maintains respectful, cooperative, and supportive attitude towards partner sites;
- Maintains confidentiality of staff records and information.
- Other duties / responsibilities assigned by supervisor.
Qualifications:
- High School diploma or higher
- A minimum of two years general administrative office experience
- Working knowledge of computers and experience with spreadsheets.
- Significant problem solving and analytical skills.
- Ability to organize, prioritize and work under pressure to meet deadlines.
- Ability to communicate effectively, both orally and in writing.
- Ability to function effectively in cross cultural situations.
- Ability to work cooperatively as a member of a team.
- Demonstrates initiative and resourcefulness in work activities.
Salary is commensurate with educational achievement and relevant past work experience.
Job Type: Full-time
Pay: $40,000.00 - $50,000.00 per year
