Overall responsibility
Assist the Property Manager with all on-site operations and achieving property financial and operational objectives. Assist with major Capital infrastructure improvement in very near future. Oversee office administration including accounts payable/receivable/purchase orders. The position also works with the Property Manager to ensure that all activities are conducted in compliance with all local, state, and federal, landlord/tenant, and real estate laws.
Term of employment
Part Time (20-30 Hours per week)
Qualifications
Strong interpersonal skills, will need to work and coordinate with both residents and outside contractors.
Strong organizational skills are a must.
Education - High School Diploma (or equivalent). Must be able to read, write and communicate English fluently. Bilingual is a plus.
Computer – Proficient with Microsoft Word, Excel. Experience with Property Management software program(s) are a plus.
Experience – Seeking qualified individuals with 2-3 years of property management experience. Must have proven ability to successfully work with people, formulate and explain financial expenditures of capital projects. Must have the ability to operate computerized property management software programs and prepare required operations and activity reports.
Licenses - A valid driver’s license
Hours – Office Hours are 8:00 am – 5:00 pm
ESSENTIAL JOB FUNCTIONS
Project Management:
- Works with the property management team to minimize expenditures, maximize revenues and adhere to budgeted cost parameters.
- Works with the property manager to complete monthly financial and property activity reports including capital spend tracking.
- Work and coordinate outside contractors to maintain project scope.
- Works with office staff and accounting department
Tenant/Property Management
- Manages the preparation of all tenant correspondence, including late payment notices, unlawful detainers and 3 Day Notices as required.
- Produces monthly tenant delinquency reports.
- Shows vacant homes as necessary and explains property rules and regulations. Ensures all move-in/move-out paperwork is completed correctly and has been approved by the property manager.
- Ensures all homes, move-in, move-out, and other leasing data is entered correctly and on time into the on-site property management software system.
- Works with the management team to administer renewal programs and works to maximize tenant renewals.
- Assists property manager with counseling and reviewing employees as necessary and as required by company policy and procedure.
- Works with the property manager to develop an effective, proactive team that works together to achieve property objectives.
- Works with the property manager and maintenance team to ensure units, common areas, and grounds are maintained according to property objectives.
- As required, inspects units, common areas, and property to ensure adherence to property standards.
- Works with the property manager to ensure adherence to company safety standards, policies, and procedures. Works with the property manager to ensure that all safety inspections are completed as required and ensures adherence to company key control policies.
- Completes, as necessary, all required paperwork for all liability, workers’ compensation, and property insurance claims. Oversees tenant and vendor insurance programs.
- Takes escalated service requests and works with the property team to ensure adherence to customer service standards. Works with on-site staff to ensure that tenant issues are dealt with on time and that proper follow-through is done.
- Assists property manager with scheduling, organizing, and hosting tenant functions.
- Must be very flexible, a team player, work well under pressure, and willing to learn.
Job Type: Part-time
Pay: $16.00 - $19.00 per hour
