Southern Marin Dermatology (“SMD”) is a thriving private medical and cosmetic practice located in Sausalito, CA. Our recently expanded state-of-the-art clinic encompasses four physicians, two physician assistants, and a clinical esthetician. Currently, we are celebrating 10 years as the first and only dermatology practice in Sausalito and we will be adding an additional provider to our team in the early fall. For this reason, we are looking to expand our team of dedicated Patient Coordinators. Job Overview
SMD is seeking an experienced and professional Medical Front Desk / Patient Coordinator who will report to the Assistant Manager. This role is primarily responsible for patient scheduling, insurance verification, patient check-in and check-out, explanation of fees, collection of payment, and product sales within our boutique store. Excellent customer service and communication skills are essential!
Job Responsibilities for Medical Front Desk / Patient Coordinator
1. Patient Scheduling
- Communicate with patients in a friendly and helpful manner, via phone, email, text, patient portal, etc.
- Enter all new patient demographic information into our electronic health record software.
- Schedule patient treatment with provider according to SMD scheduling guidelines.
- Ensure proper insurance authorization and/or referral is obtained.
2. Patient Check-In
- Greet each patient in a pleasant and professional manner.
- Evaluate patient chart data to verify and document patient demographic and insurance information.
- Secure all necessary patient signatures; obtain proper informed consent.
- Mark arrival time of patients in office and track patients in the reception area, communicate as needed.
3. Patient Check-Out
- Review fee sheets for correct charges and diagnosis; enter information into computer.
- Explain all fees and patient financial responsibility.
- Collect payment for services.
- Ensure patients understand their condition, treatment, and provider instructions.
- Schedule follow-up appointments.
- Explain products within the boutique, contribute to sales goals.
- Focus on patient satisfaction.
4. Administrative
- Answer phones in a friendly and helpful manner.
- Call no-show patients; reschedule as needed.
- Work waitlist and recall lists.
- Keep reception area neat and clean.
- Prepare labels, charts, miscellaneous correspondence, etc.
- Assist other front office personnel as needed.
- Performs other duties as assigned.
Qualifications / Required Skills:
- High school diploma or equivalent.
- 2 years of relevant experience in a healthcare setting or medical practice; dermatology or cosmetic services experience a plus.
- Excellent customer service and communication skills.
- Empathetic with patients’ needs and concerns.
- Treat patients and co-workers in a professional and courteous manner.
- Ability to work as a team member.
- Able to manage multiple tasks simultaneously.
- Highly motivated and organized.
- Excels under pressure.
- Well-organized with attention to detail.
Logistics
Location: On-site at our beautiful, waterfront office in Sausalito.
Hours: Full-time (approximately 40 hours per week) Mon – Fri.
